Privacy policy
ServeSlot LLC ("ServeSlot," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using ServeSlot, you agree to the practices described here.
1. Who we are
ServeSlot LLC is a Georgia limited liability company providing web-based volunteer signup and coordination services. Our registered address is 1700 Northside Drive, Suite A7 #5460, Atlanta, GA 30318. You can reach our privacy team at contact@wessidemedia.com.
2. Information we collect
From coordinators (account holders)
- Name, email address, and password when you create an account
- Organization name and type (e.g., church, sorority, nonprofit)
- Payment information (processed securely by Stripe; we do not store card numbers)
- Phone number, if you enable SMS reminders for your events
From volunteers (no account required)
- Name and email address when signing up for a slot
- Phone number, only if you opt in to receive text (SMS) reminders for an event
Automatically collected
- Device type, browser, and operating system
- IP address and general location (country/region)
- Pages visited, features used, and timestamps
- Cookies and similar tracking technologies (see Section 7)
3. How we use your information
We use the information we collect to:
- Provide and operate the ServeSlot service
- Send event confirmation emails and, where opted in, text (SMS) reminders
- Process payments and manage subscriptions
- Respond to your questions and provide support
- Detect and prevent fraud or abuse
- Improve and develop new features of ServeSlot
- Send product updates and announcements to coordinators (you may opt out at any time)
We do not sell your personal information to third parties. We do not use your information to display advertising.
4. Text (SMS) messaging
Volunteers who provide a phone number and opt in to SMS reminders for a specific event will receive automated text messages related to that event (e.g., reminder messages and confirmation of signup). Message and data rates may apply. Message frequency depends on the event schedule configured by the coordinator — typically up to 3 messages per event. You may opt out of SMS messages at any time by replying STOP to any message we send. Reply HELP for assistance. For full details, see our SMS Terms.
We use Twilio, Inc. to deliver SMS messages. Your phone number is shared with Twilio solely for message delivery. Twilio does not use your number for its own marketing purposes. Phone numbers collected for SMS are not shared with any other third party.
5. Information sharing
We share information only in the following limited circumstances:
- Service providers: Trusted vendors who help us operate ServeSlot (e.g., Stripe for payments, Twilio for SMS, Vercel for hosting, Supabase for database). Each is bound by a data processing agreement and may only process data as directed by us.
- Between coordinators and volunteers: A coordinator who creates an event can see the names and email addresses of volunteers who signed up. Volunteers do not see other volunteers' contact information.
- Legal requirements: We may disclose information if required by law, subpoena, or to protect the rights, safety, or property of ServeSlot or others.
- Business transfer: If ServeSlot is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you before your information is subject to a different privacy policy.
6. Data retention
We retain account information for as long as your account is active and for a reasonable period after account closure to fulfill legal and business obligations. Volunteer signup data (name, email, slot) is retained for the duration of the event plus 90 days, after which it is purged from active records. Phone numbers used for SMS are deleted within 30 days of opt-out or account closure.
7. Cookies and tracking
ServeSlot uses first-party cookies to keep you logged in and remember your preferences. We use anonymized analytics to understand how features are used. We do not use third-party advertising cookies. You can disable cookies in your browser settings, though some features of ServeSlot may not function correctly without them.
8. Children's privacy
ServeSlot is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If we learn that a child under 13 has provided personal information, we will delete it promptly. If you believe a minor has provided us information, contact us at contact@wessidemedia.com.
9. Your rights and choices
Depending on your location, you may have the right to access, correct, or delete your personal information. To submit a request, email us at contact@wessidemedia.com with "Privacy Request" in the subject line. We will respond within 30 days. California residents may have additional rights under the CCPA.
If you are a volunteer whose coordinator uses ServeSlot, you may also contact the coordinator directly to request removal of your information from an event.
10. Security
We use industry-standard security measures including encrypted data in transit (HTTPS/TLS) and at rest, access controls, and regular security reviews. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify coordinators by email and display a notice on ServeSlot. The "effective date" at the top of this page reflects when the current version took effect. Continued use of ServeSlot after changes constitutes acceptance.
